An implementation can be a tough animal to tame depending on how you structure it. Having the right tools and methodology behind you to define and run a project can go a long way towards a successful deployment or development effort. When planning for a meeting, there are several tasks to be executed and several eventualities to be prepared for. New challenges invariably arise in the meeting planning process at the eleventh hour and you have got to plan ahead for these so that you are not stumped or foxed by problems that may crop up. As your requirements as an event planner will be manifold, you have to thrash out a comprehensive meeting planner checklist that will cover all major and minor details.
Here are few important things to remember when you build your checklist: 1. The devil is in the details. Include as many details as possible, even if for your own reference. 2. Include an autodate/time stamp function so each time you update the checklist, the file keeps track of when you did it. 3. Incorporate a way to communicate your checklist. Also incorporate a way to quickly and easily communicate checklist details to everyone. Depending on what your company does you may want to download more than one template for a checklist so that you can create a variety of lists for each task. You can print them on different colored paper to make sure they are easy to see and use a variety of fonts to make them catchy enough that your employees will actually enjoy using them and doing each job right the first time.
So, the meeting planner checklist now includes the placing of advertisements in newspapers, on television and in other media declaring the coming of the event with fanfare; making a final check of the guest, delegate and attendee list; the preparation of meeting kits for the VIPs and the other attendees; checking the final seating arrangement in the conference hall, on the dais, etc; the final estimate of guests, which is to be handed over to the caterers so that they may prepare food according to the number of heads; checking whether all planes and trains are running on schedule and making arrangements for airport pickups in limousines for VIPs; checking hotel bookings once again; etc.
